SUMMARY OF DUTIES The primary purpose of this position is to serve as the personal assistant and principal clerical and administrative support to one or more organizational supervisors serviced of limited complexity with relatively informal internal controls and procedures, in addition to participating in the management of the office by applying a good working knowledge of the organizational functions and procedures in order to relieve the supervisors of clerical and administrative support work.
The following Knowledge, Skills, and Abilities (KSAs) will be considered in the evaluation process 1. Knowledge of general office automation software, practices, and procedures and competitive level proficiency in typing, to include, grammar, spelling, punctuation and required formats for accomplishing word processing/office automation responsibilities of the position.
2. Knowledge of the organizational functions and procedures necessary to perform such duties as distribute and control incoming and outgoing mail, exercise judgment in referring phone calls and visitors which can be handled personally or forwarded to other staff personnel or divisions, and provide general, nontechnical information when routine or procedural matters of the office are involved.
3. Knowledge of the filing system and various references and handbooks commonly used by the staff in order to classify, search for, and dispose of materials.
4. Ability to assemble travel arrangements; makes reservations, notify organizations and officials of visit scheduled, and submit travel vouchers and reports.
5. Skill to schedule appointments and makes arrangements for time, participants, and location of meetings in accordance with instructions from supervisors.
